Project Assistant

Stillwater Sciences is seeking a highly motivated and talented Project Assistant to join our interdisciplinary staff in the Davis office. The successful applicant will be responsible for assisting Project Managers across several California offices with project budget tracking, contract development, monthly billings, and data tracking while working within a small environmental consulting office. The position is available immediately.

Responsibilities:

  • Assist with development of contract documents, budget and task summaries, and monthly project billing statements per contract and project manager instructions.
  • Communicate with project managers, clients, vendors, and contractors from multiple offices throughout California on various project-related items.
  • Review and compile project invoices per client’s detailed billing terms requirements.
  • Report formatting/editing, including Microsoft Office support.
  • Conduct scientific literature and database searches.
  • Data entry, filing, and report production assistance.
  • Maintain well organized and complete project files.

Qualified applicants should possess: 

  • Bachelor’s degree; high school graduates considered with 5+ years work experience in accounting/project assistant roles.
  • Proficiency in Microsoft Word, Outlook, and PowerPoint.
  • Strong Excel skills.
  • Proven organizational and time management skills with the ability to effectively multi-task.
  • Strong attention to detail and initiative to follow-through.
  • Demonstrated excellent verbal and written communication.
  • Strong problem-solving skills.
  • Enjoy working with an academically-minded group of scientists who are passionate about what they do.
  • Ability to remain calm in a stressful environment.
  • Versatility to work both independently and collaboratively.
  • Experience using project-based accounting software (e.g., Deltek Vision) is a plus.
  • Experience working in a professional services organization helpful.
  • Experience with regulatory and permitting is a plus.

Salary range is $17–20 /hour, commensurate with qualifications and experience.
